Who will hold retained samples after the factory closes?

Ask the quality lead which samples must remain available after the factory closes and why. A cupboard full of labelled containers does not explain the requirement, the appropriate conditions or who may authorise a later decision.
There is no single retention period for every factory sample. Establish the actual product, customer, regulatory and quality requirements with the responsible advisers. Use the handover below to assign custody; obtain specialist instructions for storage or disposal.
Connect the sample to its purpose
Use the existing sample identity and record system. For each group, assemble enough information for the future custodian to understand the responsibility.

Record unknown answers explicitly. Do not invent a storage condition or disposal date to complete the handover form. Some samples may need specialist arrangements that the proposed office or store cannot provide.
Test the proposed custody arrangement
Choose an agreed example and ask the future custodian to find its record. Can they identify the reason for retention and reach the person responsible for a technical enquiry? Can they obtain the applicable instructions through approved access?
The test should not involve opening, handling or moving material outside the established arrangements. Its purpose is to check the information and responsibility route.
If a sample supports unfinished testing, connect it to the laboratory's remaining work. Moving custody does not complete the investigation or establish that an alternative laboratory can perform it.
Keep the evidence usable after people leave
Confirm how the samples relate to the production traceability records. A legible label may still be unhelpful if the batch record exists only in a system that is about to become unavailable.
Identify continuing costs and who can approve them. Retained material can lose its practical owner when the factory project ends, so include it in the residual-responsibility handover. Review changes in custodian or location through the appropriate people.
Make the exclusion clear when planning clearance. If approaching UK Auction Group, distinguish retained samples and the equipment or storage still needed for them from assets proposed for disposal. The closure service does not decide the technical evidence requirements for your products.
Leave the custodian a current contact route and a record of the accepted handover. The next enquiry should reach someone who knows why the sample still exists.
