Test whether an authorised person can retrieve production evidence after the factory's ordinary systems and staff arrangements change. The record needs to support an actual product enquiry through the future access arrangements.

Start with the reference a future question is likely to provide: a batch, serial number or customer order. Ask the responsible quality and records owners which evidence applies and how access will continue. Retention periods and permissions depend on the actual requirements; this guide does not set them.

Follow one product reference

Choose an agreed sample record for the exercise, with the appropriate access. The person expected to handle future enquiries should be able to work through these questions:

  1. Can they identify the product and the relevant production period?
  2. Can they find the authorised requirement that applied to it?
  3. Can they locate the related process and acceptance evidence required for that product?
  4. Can they identify any unresolved decision or restriction?
  5. Can they reach the person authorised to interpret the evidence and decide the next action?

The result may reveal a missing relationship rather than a missing file. For example, a folder of test reports may exist but lack a usable connection to the batch reference. Give that gap to the responsible record owner before the usual system becomes unavailable.

Preserve meaning as well as files

Ask system owners about the dependencies required to read and interpret records through authorised access. A specialist file format or historic identifier may need context that a generic file copy does not preserve.

Leave technical migration and security arrangements to the appropriate specialists. Do not export confidential records into an uncontrolled archive simply to make them easier to find. Confirm the scope and permissions for any proposed new custodian.

If physical evidence remains, connect the record to the sample-custody handover. The future reader should know who holds the sample and how an authorised request is handled.

Give future enquiries an owner

Where the product continues through another provider, put record access into the future responsibility agreement. Distinguish what the provider creates from evidence belonging to the closing factory's earlier work.

Repeat the retrieval check after the agreed change, using the normal authorised user rather than a system administrator with exceptional access. Record remaining gaps, owners and the accepted limits of the handover.
