Food factory closure: keep traceability enquiries answerable

Confirm that a product enquiry can reach the responsible people and records after food production ends at the site. Closing the premises can remove the familiar telephone extension, file location and staff contact while products from earlier production remain elsewhere.
The Food Standards Agency's incident guidance, for England, Wales and Northern Ireland, explains the need to identify suppliers and food-business customers when responding to an incident. It links separately to Scotland's guidance. Confirm the requirements and continuing arrangements with the responsible food-safety adviser and enforcement authority.
This is a continuity exercise for information and responsibility. It does not set retention periods, shelf life or an incident-response procedure.
Start with a fictional batch enquiry
Suppose the continuing business receives a query identifying product P and batch B after the factory has closed. Use an authorised fictional example to test the route; do not create a false live food incident.
The person receiving the enquiry should know how to reach the responsible food-safety decision-maker. That person needs access to the relevant records and current business contacts through the established arrangements.
Follow the reference through the record
Ask the authorised record owner to demonstrate how they would locate:
- The identified product and production batch.
- The relevant supplier and input relationships required for that product.
- The food-business customers and distribution records relevant to the enquiry.
- The applicable quality or release evidence and any unresolved matter.
- The responsible people who assess the concern and decide the action under the proper process.
Use the actual requirements for the business and product. This exercise is not an exhaustive traceability standard. Record any missing relationship, inaccessible record or obsolete contact and assign its correction.

Preserve the response route
Confirm who receives urgent enquiries when the old site contact disappears. Do not leave the route dependent on a former employee checking a personal message. Agree continuing contacts and the relevant authority through the business's formal arrangements.
If retained material is required, connect the record to the sample-custody handover. The responsible specialist must confirm conditions and duration for the actual material.
An actual concern about food safety requires the applicable incident action and notification, not completion of this exercise first. Follow the current official guidance and responsible authority's advice.
Include the arrangement in closure handover
Place unresolved records and contact matters in the continuing-responsibility record. Confirm who will keep them usable and review changes in systems or personnel.
