The most urgent handover is not always held by the most senior person. A part-time administrator may be the only person who knows how to resolve a recurring invoice query, while a manager's work is already well documented.

Look for knowledge that an unfinished business task needs and that nobody else can presently use. This is broader than recording machinery specifications for a sale. It includes customer promises, routine exceptions and the location of evidence.

Start with tasks that will survive the handover

List the work expected to continue: answering account queries, completing jobs, locating stock and customer property held in stores or responding to advisers. For each task, identify the person with the knowledge and the person who will use it next.

Ask three questions. When might the knowledge become unavailable? What happens if the task cannot be completed? Can the recipient already find and understand the relevant record?

Those answers give a practical priority. Avoid assigning a high score merely because a task has a large file or an impressive title.

These are illustrative examples, not a universal order of importance.

Test whether a record is enough

A folder may exist without anyone knowing which version is current. Ask the next person to locate the evidence and explain the next action. Handover acceptance turns "I sent it" into a usable check.

If the answer depends on someone's judgement, capture an example and the limits of that judgement. Do not convert informal technical knowledge into instructions for an unqualified replacement. Relevant work still needs a competent person.

Office routines and production-planning knowledge need different outputs. One may require a contact route; another may need an explanation of how work dependencies affect capacity.

Give the handover time in the actual workload. A request to document everything after a normal shift is unlikely to produce reliable, considered material. Review priorities with the people doing the work and through appropriate employment arrangements.
