Hand over stores knowledge before a closure

A stores area can look like a collection of surplus goods while still containing material reserved for unfinished work, property belonging to someone else and items awaiting a decision. The stores handover should preserve those distinctions.
Start with status and purpose before quantity. Counting a shelf accurately does not explain whether its contents are available for disposal.
Make the important exceptions visible
Ask the person responsible for stores to identify items that need special handling in the business records. These might be reserved for final jobs, awaiting return, linked to a supplier query or held for a customer. Check the relevant evidence rather than treating a handwritten label as conclusive ownership.
For each exception, record a recognisable reference, location, reason, supporting record and responsible contact. Keep disputed status explicit and seek appropriate advice about rights or obligations.
The production-planner handover should agree with stores about material still needed. If the two records differ, the difference is a question to resolve before either is used to release stock.
Use the layout to explain the records
A simple location map can show where to find the relevant items, provided access and observation are safe. It need not be a detailed stock valuation or sale-lot plan.
A fictional store contains three similar boxes: one allocated to a final order, one awaiting a supplier response and one with no known commitment. Photographing them together as "remaining stock" would lose the distinctions. The handover records the separate references and the questions still open.
Do not move heavy, hazardous or unfamiliar material for the sake of improving the record. Ask the responsible competent person how information should be gathered safely.
Give the next custodian an update rule
Explain who records an issue, return or changed allocation after the stores employee leaves. If final production uses part of a reserved quantity, the record needs a current balance and status. Otherwise an earlier list may overstate what remains.
Record versions and the evidence index help the recipient locate the current position without keeping a private duplicate. Make sure they can interpret the codes and find the linked documents.

Complete the handover by selecting one item from each important status and asking the recipient to locate the evidence and next contact. If they can do that, the stores knowledge has a practical home beyond the departing person's memory.
