How to check that a handover has actually worked

"Everything is in the folder" describes a transfer of files. It does not show that the next person can use them.
Choose a representative task and ask the recipient to work through it within their authorised role. The aim is to find missing information while the sender is still available, not to test the recipient's confidence under pressure.
Use a small demonstration
For an office handover, the recipient might locate an unresolved invoice query and identify who can approve the response. For a production record, they might explain why a particular job is still open and which evidence will confirm completion. No unsafe physical activity is needed to test whether those records are intelligible.
Office routines and the production-planner brief provide different material for this exercise. Choose the example that reflects the actual task being inherited.
Ask the recipient to describe what they would do next, where the supporting record is and when they must refer the matter. If they need to telephone the departing person at every step, record the missing explanation rather than pretending the handover has succeeded.
Treat gaps as useful findings
A fictional recipient opens the right spreadsheet but cannot tell whether a coloured row means a completed job or a customer hold. The file transfer worked; the meaning did not. The correction is a clear explanation linked to evidence, followed by another check of that point.
Do not require the recipient to memorise the whole business. A good handover can make it easy to find the answer or the right competent adviser. Knowing the limit of a role is part of usability.
Protected handover time should include this check and the correction of important gaps. Otherwise the sender may leave immediately after presenting material that nobody has tried to use.
Record what was tested, the result and the remaining questions. An acknowledgement of receipt can be useful, but it should not be worded as a broad release of employment or legal obligations without appropriate advice.
For sensitive records, test through the approved access route. Do not copy live personal data into an informal exercise or use another person's credentials for convenience.
