A handover takes time from somebody's working day. If the final production plan already uses all available capacity, adding interviews, document checks and demonstrations creates a conflict even when the diary still looks tidy.

Make that conflict visible before asking staff to absorb it. Start with the work that must still be delivered and the knowledge the next person genuinely needs.

Put both kinds of work in the same plan

A fictional office employee has six available hours in a day. Four are already needed for customer queries and two for invoice preparation. A proposed ninety-minute handover does not fit simply because it is described as a quick conversation.

The manager has several options to examine: move a lower-priority task, provide suitable cover, shorten the handover to its most urgent purpose or arrange another agreed time. Each changes the plan. Leaving the employee to choose privately transfers the conflict without resolving it.

Use actual availability, including existing arrangements, rather than assuming every person can extend their day. Seek employment advice where working arrangements or obligations are unclear.

Knowledge priorities help decide what deserves the first protected slot. An explanation needed tomorrow may be more urgent than a comprehensive archive of a discontinued routine.

Reduce the work without losing the answer

Ask the recipient to prepare questions and read existing material first. A handover should not consume an hour locating documents that could have been identified in advance.

Choose an output suited to the task. A short recorded location list, an annotated example or a live explanation with notes may work better than a lengthy manual. Use appropriate permission and privacy arrangements for recordings; written notes are often sufficient.

Allow time for the recipient to try the next step and return with a question. The handover check is part of the work, not an optional favour after the sender has left.

Show the consequence of a missed slot

If urgent customer work displaces the handover, reschedule it explicitly and identify the remaining exposure. Do not mark it complete because a meeting appeared in the calendar.

For the final production plan, a missed explanation may leave nobody able to establish whether an asset is still required. That uncertainty should remain visible in the disposal scope.
