Keeping fleet maintenance responsibilities clear until use ends

Keep a named responsible person for the vehicles still in business use until their actual operating release. A closure announcement should not leave drivers, repairers or administrators unsure who receives a defect report or confirms the next authorised action.

Use the applicable requirements and competent advice for the actual vehicles and jurisdiction. This guide does not prescribe inspection intervals, assess roadworthiness or give repair instructions.
Transfer a responsibility, not just a diary
If the usual fleet contact is leaving, review the remaining function with the person taking it on. Confirm their competence, authority and access through the business’s proper arrangements. Do not assign a safety-related role merely by adding someone’s name to a spreadsheet.
The handover should answer:

Use the final journey review to identify vehicles whose business use has not ended. Keep this responsibility list current when that work changes.
Follow the unresolved report
Choose a real outstanding report or provider query and ask the incoming contact to find its status. Can they identify who is dealing with it and what decision is required before any further use? This tests the handover without asking them to make a mechanical judgement outside their role.
The away-from-base register helps find work held with repairers. A vehicle should not disappear from the responsibility review merely because it is absent from the yard.
If a supplier arrangement is ending, confirm how the remaining operating need will be covered before treating cancellation as complete. Keep technical suitability and provider selection with the responsible competent people.
Join the records to the actual end of use
Preserve the evidence through the business’s approved records process. Identify who answers later enquiries and what information they can access. Do not erase an unresolved defect or service question to make the final fleet list look tidy.
Bring any licensing dependency into the operator-licence enquiry. The enquiry and the vehicle’s maintenance position need coordinated facts, but neither is resolved by a disposal target date.
When talking to UK Auction Group, state which vehicles are released and which still have operating or assessment decisions outstanding. Buyer information can then reflect the actual evidence rather than an unsupported description such as “ready to go”.
