Trace vehicles away from base before deciding what the closing fleet can do or sell. Check repair bookings, remote assignments and other custody arrangements against the business’s vehicle records. A location remembered from last week is a lead to verify, not a current release instruction.

Identify the vehicle through the business’s established reference and relevant documents. Where ownership, finance or authority is unclear, keep the proposed movement or disposal subject to appropriate confirmation. Do not ask a custodian to release a vehicle merely because it appears on a closure list.

Ask the current custodian a precise question

Confirm what the custodian holds and why it is there. For a repairer, distinguish work completed from work awaiting a decision. For a remote assignment, establish which accepted task still uses the vehicle and who controls its return.

Use an away-from-base record:

Keep invoice disputes, repair decisions and other commercial questions attached to the relevant evidence. Do not interpret the custodian’s rights or promise a release date without resolving the actual position.

Check whether the vehicle is available for work

A vehicle being physically present at a repairer does not tell you whether it can serve a final journey. Take the operating decision through the responsible fleet people and the maintenance responsibility review. This guide does not diagnose faults or authorise road use.

Update the final driving commitments sheet if a planned resource is unavailable. Seek an authorised alternative rather than counting an uncertain return as spare capacity.

Confirm a destination that still functions

Use the yard operating calendar before sending the vehicle back to a base that may no longer receive it. Confirm who accepts custody and what happens next. A different agreed destination may be possible, but it needs the appropriate authority and arrangements.

After the move, retain the actual acknowledgement and any exception. If the vehicle did not leave, keep the open decision visible to the person handling later enquiries. Do not close the record because a transport request was sent.
