The working closure plan should not live in six email attachments called "latest". First extract the current decisions from scattered correspondence, retaining the original messages as supporting evidence. Choose one agreed location for the current version and tell the people involved how to find it.

Use a system the business already understands where practical. The important decisions concern ownership, access and version control, not the brand of software.

Keep the working view small

The main folder or page needs the current scope, task owners, decision log and open questions. Supporting agreements, advice and sensitive records can remain in appropriate restricted locations, with references from the working view.

A person coordinating the asset visit may need an access note but not employee files. Give people the information required for their role. Ask the appropriate privacy or legal adviser about uncertain sharing or retention questions.

Make the current version obvious

Put a date and owner on the main plan. Establish who can edit it and who checks significant changes. Keep earlier versions as superseded where needed for the business record.

A fictional coordinator receives a revised premises date in an email. They update the controlled plan after the authorised confirmation, record the source and notify the affected workstream owners. They do not rely on everyone reading the original message.

Test access before a handover

Ask another authorised person to find a specific decision and its evidence. If they need the owner to explain where it is, the workspace still depends on private knowledge.

Check whether access uses business-controlled accounts and whether the right people can continue using them after staffing changes. Do not solve a handover by circulating personal passwords. Seek proper administrative help for access changes.

Keep unnecessary duplicates out of routine circulation. A downloaded copy used for a meeting should show its date and the place to check for updates. Decide how corrected information reaches anyone acting from an earlier version.
