Two files called "final closure plan" can contain different instructions. Do not choose between them solely by filename or the last-modified time.

Compare the disputed facts and establish the authorised current position. Preserve relevant previous versions through the agreed records arrangements so the difference can be explained later.

Find the meaningful difference

List the entries that disagree: dates, asset scope, responsibilities, exclusions or conditions. Identify who supplied each change and the evidence or decision behind it.

A fictional version 3 excludes a machine because ownership is unresolved. Version 4 includes it after a coordinator tidies the list, but no ownership answer or new instruction exists. The newer file is not evidence that the issue was resolved.

The decision evidence record can establish what was actually known. The authority map shows where the appropriate decision must come from.

Separate a clerical correction from a substantive change. Correcting a spelling error and adding another asset to a proposed sale require different checks.

Establish the current working version

Ask the responsible authorised person to resolve the conflict, obtaining professional advice where rights, authority or other specialist questions are involved. Record the answer and its scope rather than simply merging both files.

Give the resulting version a clear date and identifier. State which earlier working version it supersedes for the relevant purpose, while preserving the original records as required. A document can be current for information gathering without being an approved sale instruction.

Check whether anyone has acted or made plans using the disputed version. The consequence may be more important than the document correction itself. Ask the relevant adviser how existing commitments should be handled rather than assuming they vanish when the file is renamed.

Tell the people who relied on it

Send a concise explanation of the corrected position and what action, if any, is requested. The change notice should identify the affected fact and the current instruction route.

If UK Auction Group received an earlier scope, make the difference explicit through the agreed contact. Do not expect the auctioneer to detect a changed row inside a replacement attachment.

Keep one named maintainer for the working plan and a route for proposing changes. Contributors can supply facts without independently issuing competing final versions.

The resolution is complete when the current position has a traceable basis and the people relying on the old information have been appropriately updated. A tidy folder alone does not establish either of those outcomes.
