Long email threads often mix suggestions, questions and instructions. Before copying a line into the closure plan, establish which kind of statement it is and whether the appropriate person actually made a decision.

Keep the original correspondence through the agreed record arrangements. The working summary should point to it, not replace it with a cleaner but less accurate story.

Follow the proposal through the replies

Consider this fictional sequence:

  1. The coordinator proposes including a machine in the next disposal discussion.
  2. The production manager replies that it may still be needed for a job.
  3. The authorised contact says to obtain the job status before deciding.

The current action is to obtain the job status. A summary saying "machine approved for sale" would extract the first proposal and ignore the later condition.

The instruction record helps identify the capacity and scope when an actual decision is made. The unanswered-question register holds the open production question in the meantime.

Write the working entry in ordinary language

State the current action, responsible person, relevant date and link to the supporting messages. Include any condition or exclusion that changes what someone may do next.

If the thread contains contradictory instructions, record the conflict and seek clarification through the proper route. Do not assume the newest message wins if it came from someone without the relevant authority.

Keep a distinction between a person's acknowledgement and their approval. "Received, thank you" confirms receipt. It does not necessarily answer a request to approve the whole attachment.

Check attachments as well as the wording

An email may refer to a list whose version is unclear. Identify the actual attachment used and compare it with the current working copy before acting. Version conflict resolution becomes necessary when two apparently identical filenames contain different scope.

Avoid forwarding a full thread merely to share one operational point. It may contain unrelated personal information or confidential advice. Provide the appropriate relevant extract or summary through an authorised process, retaining the original evidence where required.

After clarification, update the working action and preserve the link to the response. The aim is that a person joining the closure later can see what they should do next and why, without reading every conversational detour or mistaking an early suggestion for the final authorised position.
