A sale adviser can only work from the information they have. If a machine remains needed, a site date changes or the instruction route is being reviewed, tell them which earlier fact is affected.

Use a change notice rather than quietly replacing an attachment. The recipient needs to know what changed and whether the current proposed action needs reconsideration.

Describe the difference and its consequence

Identify the earlier message or document version, the previous position, the new fact and the relevant evidence. State what remains uncertain. Then say which part of the discussion or proposed work may be affected.

For example, a fictional update could read:

The earlier brief expected Machine A to finish customer work this month. The production manager has now identified outstanding rework, so that release assumption is unconfirmed. Please treat the timing for Machine A as under review while we obtain the updated business decision; the scope of this enquiry has not otherwise been confirmed for marketing.

The wording makes the changed dependency visible without pretending the sender can determine every contractual consequence. Existing commitments may need advice and a specific discussion with the provider.

The wider closure change record should reflect the same fact. Continuing-use notes can retain the reason behind the revised availability.

Send the change through the right route

Use the established business contact and agreed communication channel. If authority itself has changed, follow the authority-change process with the appropriate legal advice rather than relying on an unexplained email from a new person.

Ask for acknowledgement where the change affects a material next step. Do not assume that a document uploaded to a folder has reached everyone relying on the old version.

Keep confidential or personal explanations proportionate. The adviser may need to know that access cover is unavailable without needing the private reason for someone's absence.

Close the loop in both records

When the recipient clarifies the effect on their proposed work, record that response and any further question. Update the business's action list so the change is not treated as complete merely because the notification was sent.

Preserve the earlier issued version through the agreed records arrangements. It explains what the recipient was originally told. The current record should clearly show the new position, the person responsible for resolving it and which actions await a further answer.
