After closure, the person whose name appears on the asset sale can become the default contact for every question about the former business. Prevent that confusion with a short contact map and clear referral boundaries.

Agree the routes with the people receiving the messages. Publishing someone's details does not establish that they have accepted the work or authority to decide it. Use the business's existing privacy and communication arrangements when sharing information.

A fictional closure receives these messages:

The auctioneer's role in equipment disposal should not be described as responsibility for old customer refunds, warranties or supplier disputes. Confirm the actual scope of the appointment and keep the public wording within it.

Refer enough context to make the handoff work

When a message reaches the wrong contact, identify its type and provide the approved destination. Share only the information needed through an authorised route. Do not forward a full thread containing unrelated customer or personnel details merely because it is convenient.

If the enquiry is unclear, ask for a relevant reference. A message saying "the machine you sold me" could concern former trading stock or the later disposal sale. Establish which transaction is meant before assigning responsibility.

Record who has accepted an unresolved referral. A message forwarded without acknowledgement can remain unowned while both contacts assume the other is handling it.

Keep the map aligned with real availability

Use the continuing contact register for current details and absence arrangements. Remove outdated names from active notices only through the approved update process, preserving the internal history where needed.

The aftercare workload estimate should include the messages the business itself still handles. Do not make the workload disappear from the plan by pointing all enquiries to a service provider whose appointment has a narrower scope.
