Keep a useful contact register after trading ends

After trading ends, a list of names and phone numbers may not tell anyone who can answer a query. Add the responsibility behind each contact and check that the person still holds it.
Keep the register limited to the remaining business purposes. It should be a practical route for authorised questions, not an archive of everyone who ever dealt with the firm.
Record the reason to contact each person
Useful fields include the role, organisation, question they handle, agreed contact method, relevant record reference and any limit on the arrangement. Note who maintains the entry and when it was checked.
A fictional register might distinguish:

The same person may fill more than one role, but that does not make the roles interchangeable.

Test the route after normal contact arrangements end
Check whether an office number, shared inbox or employee account will continue to be monitored. Agree a suitable replacement where needed through the authorised process.
A contact who was responsive during trading may not have accepted indefinite aftercare. Confirm the continuing role instead of assuming goodwill will cover it.
The owner’s final records handover should include this register and its maintenance responsibility. A recipient needs to know whom to ask when a document does not answer the question by itself.
Keep private information proportionate
Use an appropriate business contact route where available. Do not distribute private numbers or personal details more widely than the purpose requires. Obtain relevant permission and advice about uncertain sharing or retention.
If a contact changes, update the affected entries and tell the people who rely on them. Preserve any historical information required by the business's records arrangements separately from the current working list.
