Decide which fleet records the business still needs to answer real enquiries before ending telematics or other journey-record access. Preserve approved access to the necessary evidence through the proper business process. This is a different task from clearing information from a vehicle before sale.

Ask the responsible information owner and advisers about the actual purposes, access controls and retention requirements. This guide gives no universal retention period or technical export instructions.

Start with an enquiry, not a file format

Choose the questions that may remain after transport operations end. They might concern an accepted delivery, a reported incident or the facts needed for a licensing enquiry. Confirm the legitimate business purpose and authorised recipients before copying data.

Use a small test sheet:

What information relates to an open incident enquiry? Approved records for that case Can the responsible person retrieve them without broad unnecessary access?

Keep the final delivery commitments connected to the first test. Journey data alone may not establish the delivery outcome; include the relevant customer or receiving evidence.

Ask what changes when the service ends

Give the provider the actual enquiry tests and ask what options are available under the business’s arrangement. Confirm which records, attachments or reports remain accessible when subscriptions or user accounts change.

The software cancellation review helps identify those dependencies. Do not assume an export has succeeded because a file exists. Ask the authorised receiving person to retrieve one relevant case using the proposed future arrangement.

Record missing fields, unclear time references or absent supporting information while the provider and current administrator remain available. Do not quietly reconstruct a missing record as if it were original evidence.

Keep the recipient and purpose clear

Fleet information can relate to identifiable people and customers. Use controlled storage and access through the business’s approved process. Avoid a general archive shared with everyone involved in closure or equipment disposal.

For an operator-licence enquiry, provide only the facts and evidence requested by the relevant authority or qualified adviser. Do not assume every journey record needs to be sent.

Name the person who controls the retained records and the route for a later authorised request. Check that their access will continue independently of a departing employee’s personal account.
