Closing subcontractor work packages before owner exit

Review each subcontractor package separately before winding down the business. Establish what work remains, which records are outstanding and who owns any commercial enquiry. A package can be physically finished while its documents or payment questions still need attention.
Use the actual package agreement and authorised contacts. This guide does not advise on payment entitlement, set-off, adjudication, employment status or termination. Refer disputed rights and obligations to the appropriate adviser.
Hold a package close-out conversation
Send the current exception list before the meeting. Ask the subcontractor to identify differences and provide the evidence behind them. Work through four areas:
Remaining work. Describe the specific task, reported issue or disputed scope. Record the current position of each party without presenting an unresolved claim as agreement.
Records. Identify the documents actually required by the relevant arrangements, what has arrived and what still needs correction or confirmation.
Site arrangements. Establish whether further authorised visits are expected and who will coordinate them with the responsible site parties.
Commercial questions. Connect outstanding invoices, applications or other enquiries to the appropriate finance and adviser contact. Keep their resolution separate from a casual site acknowledgement.
A useful meeting record states the decision, its evidence, the next action and the person who accepted responsibility. “Subcontractor chased” records activity, not an outcome.
Keep a client promise connected to its package
If the contractor has agreed a further task with the client, check that the relevant subcontractor arrangement actually supports it. Do not promise a date because the subcontractor was available earlier in the project.
The client handover agenda helps identify those dependencies. For example, a client may be waiting for information that the subcontractor has not supplied. The next step is to confirm the required document and recipient, not merely tell both parties that the business is closing.
Use the project records index to preserve the version received and the response to any correction request. Keep information-handling and access decisions with the business’s responsible people.
Resolve materials and later contact
Check whether the package leaves any materials or other property on site. The site materials decision log keeps claims, evidence and permission questions attached to those goods. Do not assume that package completion transfers ownership.
Confirm where the subcontractor should send later project or account enquiries and who will monitor that route. Give open cases continuing owners before the original project contacts leave. If the subcontractor disputes the closure record, preserve the disagreement and refer it through the proper process.
