Giving former clients a reliable contact after closure

Give former clients a working route for project questions before the usual office contact ends. Explain who receives the enquiry and what information helps them find the project. Avoid promising a remedy or response time the business has not authorised and can no longer support.
Use the actual remaining arrangements from the client handover review. A contact notice should reflect those decisions, not attempt to rewrite the contract or settle an outstanding disagreement.
Write a project-specific notice
A notice can be short:
For enquiries about [project/reference] after [confirmed date], contact [working email or other route]. Please include the project reference, a brief description of the question and your contact details. [Named role or business contact] will receive the enquiry and arrange the appropriate next response. This address is for project enquiries; please confirm separately before sending physical items or arranging a visit.
Use only accurate details and approved promises. Where urgent safety-related reporting needs a separate established route, have the responsible qualified people confirm the wording. Do not describe a general aftercare inbox as an emergency service.
Send the notice to the relevant client contacts through the agreed channel. Keep its date and version with the project record. An updated website alone may not reach the person holding the old direct number.
Define what happens behind the address
Name the person who monitors incoming messages and a suitable cover arrangement. Confirm what they can answer, what requires an authorised commercial decision and what must be referred to an appropriate specialist.
Keep an enquiry record with the project, date received, responsible person, next action and actual response. Avoid copying unnecessary personal information into a general closure report. The record should show who is dealing with the case, not merely that an automatic acknowledgement was sent.
Test the route with a harmless internal message before relying on it. Confirm receipt, ownership and access to the relevant project reference; there is no need to fabricate a client complaint.
Make the supporting records reachable
Use the project document handover to check that the receiving contact can find the correct records. A functioning mailbox is insufficient if every useful attachment remains locked in a former employee’s account.
Use the insurance enquiry brief to confirm the relevant contact and notification arrangements with the broker or insurer. Do not decide whether a message is covered or promise an outcome from its title alone.
Review the route when people, service accounts or the business’s authorised arrangements change. Tell affected contacts about confirmed changes rather than leaving old instructions in circulation.
