When authority changes halfway through the closure

An authority change halfway through closure needs more than a new name in the contact list. Establish which decisions the change affects and how existing instructions should now be handled.
Ask the relevant legal adviser to confirm the position using the actual documents and circumstances. Do not assume every old instruction automatically ends, or that a new contact inherits every power previously exercised by someone else.
Prepare a factual change notice
Identify the relevant person or entity, the role or arrangement that changed, the effective date if confirmed and the source of that information. Describe the affected workstreams and the questions still needing advice.
The authority map should be updated once the proper route is established. Preserve the prior version through the agreed record arrangements so the history remains understandable.
If the change is linked to illness or bereavement, share only the personal information genuinely needed for the business purpose through the appropriate permission and advice. The operational recipient needs the instruction route, not a detailed private history.
Examine work already underway
List current commitments, proposed actions and service providers relying on an instruction. Ask the adviser how each should be treated and what communication is required.
A fictional coordinator learns that a person who approved a disposal list no longer holds the same role. The coordinator should not simply reissue the list under a replacement name. The question is which authority now applies and what, if anything, must be confirmed about the existing work.
The instruction record helps identify the original action and scope. Advice assumptions may also need review if an earlier answer relied on the previous arrangement.
Keep uncertainty explicit while seeking clarification. Where a new commitment depends on unresolved authority, tell the relevant provider before asking them to act on an assumption.
Confirm receipt with the people who rely on it
Once the route is established, communicate the current authorised contact, scope and any limitations. Use the agreed business channels and verify important changes appropriately. A forwarded message from an unfamiliar address should not be treated as sufficient evidence merely because it mentions the closure.
Give UK Auction Group the confirmed update and identify the specific instruction or asset group affected. Ask for acknowledgement of any material operational change so both sides know which position is current.
The change record should leave a reader able to trace the earlier authority, the event prompting review and the established route now in use. That continuity matters when different people are managing the remaining tasks after the original decision-maker has stepped away.
