Mentioning that "our accountant is dealing with everything" may give the auctioneer a false picture of the closure. Explain what the adviser is actually doing and which questions remain with someone else.

Use an involvement note in the enquiry. It can be short enough to read during a call while still preventing a mistaken assumption about advice or authority.

Name the task before the professional

A useful note might say that the accountant is reviewing the financial position, the solicitor is examining a premises agreement and an employment adviser is assessing the staff proposal. Only include roles that have actually been agreed.

For each, identify the relevant open question and the business contact coordinating it. Do not disclose confidential advice or personal information simply to prove that someone has been consulted.

Adviser scope should be clear in the underlying engagements. A consistent factual brief helps the professionals assess the same current proposal.

A fictional owner has asked a solicitor one question about the lease. In the disposal enquiry, "legal review completed" would be too broad. "The solicitor has answered the lease question; sale authority and the asset scope are still being checked" gives a more accurate picture if that reflects the actual position.

Agree how coordination will happen

Ask whether the auctioneer needs to speak with an adviser and for what purpose. Arrange introductions and information sharing through appropriate permission, authority and confidentiality arrangements.

A contact name alone does not mean the adviser has accepted a new task, can disclose their advice or is authorised to instruct a sale. Keep those matters explicit.

The authority map distinguishes the business decision-maker from the adviser and coordinator. It is especially useful where a family helper or manager is making the first enquiry.

Explain the disposal consequence of an open question

If the premises date is unresolved, say how that affects the current timing assumption. If ownership of one asset group is under review, identify the group rather than presenting the whole enquiry as either fully approved or entirely blocked.

Update the involvement note when scope or responsibilities change. A professional who finished an initial task should not remain listed indefinitely as the person managing the closure.
