Keep the welding records tied to the fabrication job

A folder called “welding certificates” may contain useful documents without explaining which fabrication job they support. Before closing the workshop, ask the responsible quality person to connect the evidence to the actual work.
Start with the customer specification and the agreed documentation requirements. Different jobs can require different evidence. A general closure checklist cannot decide which welding records, qualifications or inspections apply to a particular contract.
HSE’s competence guidance ties competence to the task and workplace. Use an appropriately competent quality or welding specialist to assess technical sufficiency. The closure coordinator’s role is to keep the question and its answer connected to the right project.
Build the project connection
For a fictional fabricated frame, the customer has asked for identified material information, specified welding-related records and an inspection report. Some documents are in the job folder; others are held by an external provider. One attachment uses an older project reference.
The practical output is a document map:
- The precise requirement and where it was agreed.
- The corresponding record, its version and the work it identifies.
- The person qualified to confirm that it meets the requirement.
- Any missing evidence or unexplained reference.
- The agreed recipient and controlled delivery route.
Ask the specialist to resolve the older reference. Do not alter the attachment to make it look current without preserving the source and proper correction process. If evidence is unavailable, record that limitation and seek the customer or adviser decision needed.
Completing the inspection report is a separate part of finishing the order. If a departure from specification remains open, keep it in the concession record. A collection of certificates should not conceal an unresolved acceptance question.
The person who knows the job may be leaving before the archive is organised. Reserve time to explain the references while that knowledge is available. Ask the future custodian to find the evidence for one named frame from the index, without searching a former employee’s personal inbox.
Where the job depends on an outstanding site measurement, identify which records can be completed now and which depend on the later design or manufacture decision. Avoid presenting a complete documentation pack for work whose scope is still changing.
Agree which business records remain available after closure and who handles legitimate enquiries. Preserve customer confidentiality and obtain advice about retention and access for the actual job.
