Keep the right engineering software access after the final job

Cancelling engineering software may save a continuing subscription while leaving the business unable to answer a later records request. Before changing licences or disposing of workstations, identify which authorised tasks must remain possible.
Start with the task, not a list of software products. A custodian may need to read an issued drawing, reproduce an old report or provide an approved file to a customer. Those are different from editing a design or manufacturing more parts.
This is an archive-access decision after work ends. It should not become an unexamined plan to keep production capability running indefinitely.

Ask the software provider about the actual product, licence holder, versions and proposed change. Do not assume a viewer exists, that a file export preserves every required detail or that a licence can move to a different person or business. Request a confirmed option rather than improvise a workaround.
Test a real retrieval before ending access
Choose one representative archived job. Ask the nominated custodian to find and view the agreed record through the proposed authorised arrangement. Have the relevant technical person check whether the information needed for its purpose remains usable.
A file opening successfully is a limited result. It does not prove that every historical file is supported, that editable design data remain intact or that the recipient has permission to use it for a new project.
The customer drawing archive provides the job and revision context. CMM reports need their own identity and status; preserving a measurement program alone may not answer a later question about actual results.
Ask advisers about required retention and access responsibilities, and keep supplier confirmations with the record plan. The account-access handover can establish legitimate business access without sharing personal passwords.
For an unproved CNC job, preserve the description of what remains unverified. Continued file access should not make an unfinished process appear ready for use.
Explain any temporary hardware exclusions to UK Auction Group. Once the authorised archive arrangement is checked, decide separately which computers or equipment can enter the disposal scope. The owner then knows which continuing cost serves a real records need and which equipment no longer has a business reason to stay.
