Finding stock held away from the closing warehouse

Stock can remain part of the closing business even when it is nowhere near the warehouse. Check overflow stores, processors, repairers, demonstration locations and customer premises before treating the building’s final count as the full position.
Begin with records that already describe movements out of the warehouse. Goods sent elsewhere for a purpose may never have been treated as a sale. A closed despatch record therefore does not necessarily settle their ownership or the next action required.
Ask by activity
Ask colleagues about the work they arrange, rather than sending everyone a general request for “anything off site”. Purchasing may know about a supplier holding replacement goods. Sales may know about demonstration stock. Operations may know about an overflow store used during a busy period.

The table finds questions; it does not decide title. Where the business stores other people’s goods, use the client stock review to keep those interests distinct from its own inventory.
Seek a specific confirmation
For each lead, ask the custodian to identify what they hold, the reference they use and any difference from your records. Keep the response with its date. An unanswered email remains an open enquiry, not confirmation of a zero balance.
Record one of three positions: confirmed and matched, confirmed with a difference, or awaiting evidence. Add the person responsible for resolving the item and the next contact date. This is more useful than a single tick beside the provider’s name.
If goods are to move, confirm the destination and receiving arrangements through the authorised parties. A closure announcement does not itself change the existing agreement. The stock-transfer acceptance record helps distinguish a requested move from an evidenced receipt.
Do not simply call everything back to the old warehouse. That can create another receiving commitment after the planned cut-off. Discuss whether the confirmed destination should instead be a continuing site, the customer or another agreed recipient.
Bring the answer into the closing position
Include confirmed off-site balances and unresolved enquiries in the final stock reconciliation. Show where the goods are, why they remain there and who owns the next decision after normal operations stop.
Where genuinely surplus goods may later be sold, give UK Auction Group the confirmed location, custody and availability. Keep disputed or unconfirmed items outside a sale commitment until the appropriate authority and evidence are in place.
