Checking the payment-provider account after trading ends

Ask the payment provider what remains on the account after the last trading transaction. Review its current records for unsettled items, refunds, disputes and other conditions relevant to the proposed account change. Do not infer completion from a quiet terminal or a zero figure on one screen.
Use the provider’s actual agreement and appropriate financial advice. This guide gives no standard reserve period, charge, release date or entitlement to funds.
Start with a dated account view
Identify the provider, business entity, account reference and sales channels involved. Ask the authorised account contact to obtain the relevant current record through the approved route. Note its date and what each balance or status is said to mean.
A settlement enquiry record should contain the transaction or query reference, provider status, supporting business evidence, unresolved question and next owner. Keep money held, money reported as sent and money received in the bank distinct in the comparison; ask the provider or accountant to explain any mismatch.
Put the unanswered questions to the provider
Ask which steps and conditions apply to the proposed closure, how open transactions and disputes will be handled, and what access to records remains. Include the actual issues found in the account, rather than sending a generic request to “pay the balance and close it”.
Ask how later notices will reach the authorised person. The email route test is useful where the provider relies on an address whose service may end.
For a fictional example, the business has no new card sales, but a previous customer refund request is still awaiting an authorised decision. That request belongs in the review even though trading has stopped. This does not establish that the refund is due or tell the provider how to process it.
Connect provider evidence with customer and bank records
Use the customer-deposit review where an outstanding transaction relates to unfulfilled work. Keep the customer commitment and payment status connected without treating one as proof of the other.
Bring unresolved provider flows to the bank meeting brief. The person considering the bank account needs the confirmed position and uncertainties, not a guessed final settlement date.
Retain a contact until the agreed next step is complete
Record the provider’s answer, the authorised decision and any remaining query. Test access to the evidence the continuing contact will need. Avoid asking staff to share account credentials simply because the original operator is leaving.
Keep the commercial payment-provider account separate from disposal of physical tills or terminals. When speaking with UK Auction Group, identify equipment whose ownership or provider return position remains unresolved. Closing a service record does not by itself establish that its hardware belongs in the asset sale.
