Leaving a unit can happen before the property's service charge accounting period is complete. Keep someone available to receive and review later correspondence. A final moving date does not, by itself, explain how every property account will be settled.

A service charge budget estimates expenditure for a period. Later accounts report the expenditure recorded for that period. The amount the business has already paid and the amount properly due under its arrangements are questions for the accountant and property adviser to reconcile.

The RICS commercial service charge standard addresses budgets and year-end certificates. Its professional standards do not replace the particular lease. Ask the adviser to establish the relevant provisions, accounting period and current standard applicable to the property.

Hand over the period, the documents and the question

Before the property file leaves the office, prepare an account handover note. It can be short enough to use during a call:

Property and tenant: the exact unit and legal entity, with the managing agent's reference.

Period being reviewed: the dates shown on the budget, demands and later accounts. Flag documents covering different periods.

Payments recorded: the amounts and dates supported by the business's records, with any credit notes or refunds.

Exit information: the adviser-confirmed property position and relevant agreement, without an owner-made assumption about apportionment.

Open question: precisely what remains unexplained, who has been asked and which document would help answer it.

Continuing contact: the person authorised to handle the query after the original premises and inbox close.

Attach the supporting files so the adviser can trace each amount to its period and payment record.

Follow one late account through

In a fictional example, a business leaves in September. It later receives an account referring to a financial year ending in December. The former site manager remembers paying quarterly demands, but the accountant has only two payment references in the closure file.

The next task is to locate the demands and payment records, confirm which period each covers, and give the exit agreement to the adviser. It is premature to assume that every post-September item is wrong, or that every item on the account is payable. The assessment depends on the actual arrangements and evidence.

If the premises formed part of a shared industrial estate, preserve the available estate correspondence too. It may help identify the services being discussed, while the adviser determines their contractual treatment.

Keep the forecast and the enquiry connected

Show unresolved property-account items separately in the closure or overlap budget. Record whether the entry is an estimate, a received demand or an adviser-confirmed position. Do not present a possible credit as money already recovered.

Follow up any rent deposit question through its own documents. The existence of a deposit does not explain how a particular service charge query should be resolved.
