A project folder can contain dozens of supplier emails and still leave the operating team unable to find the answer it needs. Ask for the replacement handover in terms of actual use: what information will the business need after the supplier's project contact moves on?

Begin with the agreed supply scope and the instructions from your technical advisers. There is no universal document list that proves every installation is complete or compliant. Contractual acceptance, safe use and day-to-day ownership may require different evidence.

Give the handover meeting a working example

Choose a realistic question such as "who do we contact about this unresolved alarm?" or "where is the approved instruction for this product?" Ask the receiving team to find the answer using the material provided.

If the answer exists only in a supplier representative's inbox, record the gap. A link that works for the project manager but not the operating team is also unfinished work. Arrange authorised access through the relevant people; do not circulate shared passwords.

Use the meeting to locate:

  • The current versions of the agreed operating and maintenance information.
  • Evidence references for the technical checks the responsible people require.
  • Training arrangements and the limits of the agreed support.
  • Outstanding work, its owner and the next confirmation needed.
  • The business contact who will maintain each part of the record afterwards.

Keep open work visible after the meeting

In a fictional upgrade, the supplier has handed over the standard manual but has yet to resolve a product-specific instruction agreed during the project. Calling the whole handover complete would hide the gap from the next shift.

Record the exact missing item, why the business needs it, the person responsible and the agreed next step. Ask the authorised project and technical leads what that means for the affected activity. Do not decide from the appearance of the folder whether work may proceed.

Keep the operator coverage plan alongside the documentation discussion. A manual's presence does not establish that the right people can carry out the work.

Agree who receives the first support call

Find out whether the supplier's project contact remains involved after handover and what the actual support arrangement provides. Name the business contact who owns the relationship. The first-problem rehearsal checks that the route works on paper before someone needs it urgently.

Separate those support questions from the release of older equipment. If a missing confirmation affects the old machine's continued role, carry that condition into the project decision. If it does not, say so explicitly.
