During an upgrade, the old plant can become yesterday's problem before it has stopped doing today's work. The new machine attracts the project meetings while a service query on the old one waits for someone to decide who still owns it.

Keep responsibility attached to equipment that remains in use. In Great Britain, HSE's maintenance guidance explains the need for safe maintenance arrangements and competent people. The appropriate responsible specialists must assess the actual requirements. This guide organises the management handover; it does not provide maintenance instructions.

Start with the open work

Ask the current maintenance contact which requests, faults, planned visits and records remain unresolved. Identify the equipment reference and the person responsible for the next decision. "Replacement due soon" is relevant context, but it does not resolve a reported problem.

For new plant, establish when the operating team takes over from the project team and what the supplier's actual support arrangement covers. Clarify where a query goes before, during and after that handover. The first-problem rehearsal can reveal gaps between those periods.

Keep the old and new equipment records distinguishable. Similar names or reused internal numbers can lead to a service note being attached to the wrong asset. Ask the record owner how the change will be shown without losing the earlier history.

A handover with one unresolved visit

In this fictional example, the business expects to retire an old process after a new installation is accepted. A planned service visit falls inside the overlap. The project manager believes operations will decide what happens; operations believes the supplier has taken over everything connected with the upgrade.

The owner needs a named decision maker and the relevant technical advice. That person establishes what work remains necessary and how the existing service arrangement can be changed, if appropriate. Neither team should silently cancel the visit because the equipment has appeared on a future surplus list.

Use the repair-request brief when a specific fault creates a new decision. Use the inspection responsibility note where the unresolved matter concerns the required inspection evidence. Those questions should not disappear into a general maintenance tick box.

Hand over the continuing record

At the management handover, ask the receiving person to locate the equipment history, current supplier contact and outstanding actions. Record what they have accepted responsibility for and what remains elsewhere. Keep access authorised and suitable for the information involved.

Give each remaining old-plant action a confirmed outcome before describing it as closed. If continued use or a technical finding changes disposal information, notify the authorised sale contact.
