Confirm each remaining customer visit against the site’s current arrangements. A collection booked while the shop was fully staffed may need a different plan once furniture moves, contractors arrive or access changes.

Do not invite customers to find their own way through clearance activity. Ask the people responsible for the site to confirm whether the proposed visit can happen, where the service will take place and who will receive the customer. This article organises that decision; it does not design a safe route or replace a risk assessment.

Make the appointment conditional on a real service

Before confirming the visit, check:

  1. The goods or work are ready for the agreed purpose.
  2. The person providing the service will be present and has the necessary authority or capability.
  3. Site management has confirmed suitable arrangements for that visit.
  4. The customer has accurate arrival instructions and a working contact.
  5. Someone will tell the customer promptly if those facts change.

Know when to stop confirming visits

Treat a material change as a reason to recheck the appointment. Examples include the service area becoming unavailable, the intended contact being absent or contractor work changing the site arrangements. The response is to obtain a confirmed plan, not tell the customer to “ask whoever is there”.

Use a factual message if a visit must be rearranged:

We need to change the collection arrangement for order [reference]. Please do not travel for the previously agreed appointment. [Named contact or working route] will confirm the revised arrangement with you. Your order remains recorded with us.

Adapt the wording to the actual outcome and obtain approval where needed. Do not promise a new date before the service and access are confirmed.

Distinguish the purpose of the visit

If several visits require the same facilities, define a small residual service point. That guide decides which operating function to retain. This appointment check still applies to each person’s proposed visit as the site changes.

Keep visitor information controlled. Contractors need the relevant access and coordination facts, not an open list of customers’ purchase histories or contact details.

Record the outcome before releasing the space

Confirm whether the customer attended, what was completed and whether a further decision remains. An appointment passing in the diary does not prove a parcel left or a fitting finished. Give any unresolved case a named contact before changing the space again.
