Stop contradictory family updates reaching customers

A customer may ask whichever family member they know best what is happening to the business. If each person answers from a different conversation, a tentative plan can quickly sound like several conflicting promises.
Prepare a short current fact statement for the people likely to receive questions. It should identify what is decided, what remains under review and who handles the customer's specific business enquiry.
Keep the statement within the actual position
Do not say that all orders will be completed by a date unless the business has established that position. Do not promise another operator will take over a service while succession remains uncertain.
Ask the appropriate advisers about contractual and other communication duties. The fact statement should support the proper process, not replace notices or other steps required in the circumstances.
The shared family facts provide the internal basis. Keep personal or confidential details out of a general customer response unless there is a relevant and appropriate reason to disclose them.
Give questions somewhere to go
A family member who is not handling customer work should know the business contact to use. They can record the question and pass it on without agreeing a variation, refund or future service.
A fictional relative tells a longstanding customer that the owner will "probably help after retirement". The customer interprets that as continuing support. A clearer response would state the current business contact and leave any future arrangement for the authorised person to discuss.
The promises inventory should include such statements where they may affect expectations. Ask advisers about the actual position rather than assuming an informal comment has no consequence.
Update the message when facts change
Date the statement and identify who maintains it. When a material decision changes, tell the relevant family contacts what wording or facts have changed and which earlier account should no longer be used.
Avoid asking relatives to defend a decision they do not understand or to conceal information that should be communicated through a proper process. A limited factual role is easier to perform accurately.
One family contact can distribute updates, while the authorised business person remains responsible for customer decisions.
