Testing access to customer order evidence before closing systems

Test whether the future customer contact can answer real questions before ending order-system access. A folder of invoices may not contain the specification, approved change or delivery evidence needed to explain what happened.
Choose authorised examples from the business’s records. Ask the information owner and appropriate advisers about retention, access and privacy requirements. This guide tests usefulness; it does not prescribe a retention period or technical export method.
Try five enquiries through the proposed future arrangement
Ask the receiving contact to locate the evidence for each of these cases:
- What did the customer order, and which specification was agreed?
- What changed after the original order, and where is the approved response?
- What was delivered or provided, and which exception remained open?
- Which payment, credit or refund record relates to this commitment?
- What warranty or service promise is being referred to, and who made it?
Use the actual intended archive or continuing access, not the departing employee’s personal login. Record the time and help needed to find the answer where that reveals an operational problem, without inventing a universal performance target.
The order status review helps establish the evidence behind the first question. The change-confirmation note supplies the version history for the second. The warranty enquiry sheet identifies the promise behind the fifth.
Diagnose the missing answer
A failed test may have three different causes. The record may exist but be hard to find. It may be accessible but lack the explanation needed to interpret it. Or the required evidence may never have been captured.
Assign a specific fix to the right person. Improving a filename will not create a missing customer approval. Downloading another report will not explain an undocumented status code. Keep an actual evidence gap visible to the authorised decision-maker.
Check attachments and links as well as the main record. An exported order row may refer to a specification stored in another service. Ask the responsible provider or system owner what changes when accounts or subscriptions end.
Hand over the meaning and the access
Ask the continuing contact to repeat a material enquiry after the identified gaps are addressed. They should be able to find the relevant record, understand its limits and know what must be referred for advice.
Keep the access appropriately restricted. Do not create a general closure archive containing unnecessary customer or staff information simply because several people are helping with the project. Follow the business’s approved storage and information-handling arrangements.
Record who controls the evidence and who will deal with a later access problem. Avoid leaving the only recovery route with a person whose involvement has ended.
