Match fuel cards and vehicle-linked toll arrangements to the final authorised journeys before asking providers to change them. Then confirm how outstanding transactions and later queries will be handled. Stopping a card, ending an account and settling its records may be separate events.

Use each provider’s actual terms and process. Do not assume a vehicle’s sale or a card being cut up automatically ends the commercial arrangement. Refer disputed charges or contractual questions to the appropriate authorised contact and adviser.

Connect the account to its users

Start with the provider account list and the fleet’s operational records. Check whether the arrangement is attached to a vehicle, a person, a device or a wider business account. Record enough information to match the provider’s reference without copying sensitive card details into a general closure sheet.

Use this reconciliation:

Item Confirmed fact to record
Provider and account Correct business holder and controlled reference
Allocated use Vehicle or authorised user and remaining business purpose
Last required use Journey or task that still relies on the arrangement
Provider action Instruction sent, response and confirmed effective position
Later transactions Who checks and resolves entries arriving after normal use ends
Completion evidence Provider confirmation and open questions still owned by the business

The final driving commitments sheet shows whether a card or vehicle-linked arrangement is still needed. Check the actual task rather than retaining every account simply because one journey remains.

Plan for the transaction that appears later

Ask the provider about the business’s real account process: what information remains available, how final statements arrive and where queries should be sent. Do not invent a universal delay period or promise that a final journey produces an immediate final balance.

If the final statement is still outstanding after use ends, assign the enquiry to someone who will retain the relevant records and provider contact.

The final delivery review helps connect a charge question to an actual accepted run. Keep access proportionate; the person checking a transaction may not need unrestricted journey history.

Keep payment and cancellation distinct

Use the direct-debit and contract review before changing payment arrangements. Obtain the provider’s response and appropriate advice about the account rather than treating a stopped payment instruction as proof the agreement ended.

Record unresolved balances without assuming the outcome. Hand them to the continuing authorised contact before the fleet administrator leaves.

When discussing vehicles with UK Auction Group, confirm any provider-controlled device or account that affects the release arrangements. Keep the commercial account closure with its owner, separate from the physical vehicle sale and any required information-handling work.
