Reconcile hired-plant instructions by project and supplier before winding down the contractor. The site, hire desk and accounts contact may each hold a different part of the story. Match those records before assuming an item has left hire or a final charge has been settled.

Use the actual provider’s process and agreement. This guide does not establish when hire ends, what a notice achieves or who is liable for a disputed amount. Refer those questions to the supplier and appropriate adviser.

Match four milestones

For every open project hire, connect these milestones under the same provider and agreement reference:

  1. Site request: who asked for the change, which item and location it covered, and when.
  2. Provider response: the instruction or acknowledgement actually received, including any outstanding requirement.
  3. Physical outcome: whether the agreed collection or return occurred and what evidence exists.
  4. Account position: the related statement or enquiry, with any difference still awaiting explanation.

Do not replace the four dates with one “off hire” field unless its meaning is clear to everyone using it. Keep the provider’s own reference and wording where it matters to the enquiry.

Reconcile across sites before chasing the wrong item

In a fictional example, Site A requests collection of a hired item. The provider’s response refers to Site B’s booking under the same account. Accounts later receives a statement while both site records show “sent to hire desk”. A general chase about the account will not resolve the mismatch.

Send a precise enquiry identifying the two project references and the instruction each site intended. Ask the provider to confirm its understanding and the remaining actions. Keep the answer with both records where appropriate, without assuming the original request covered both hires.

The project return calendar shows what equipment remains at each site. Keep it current when a supplier changes a confirmed appointment. Tell the responsible site people through the agreed channel.

Check what remains open after collection

A physical collection can complete the site task while leaving a commercial question. Record that question with the continuing accounts contact rather than asking the closed project team to monitor it indefinitely.

Use the supplier statement reconciliation to connect the account evidence to the project records. Preserve disputed positions; do not make an unsupported adjustment merely to close the supplier file.

If hired plant returns through the business’s yard, the yard operating review must include that temporary receiving and collection function. Confirm it before ending the yard service.
