Agree what finished means before closing the business

A business can stop trading before it leaves the premises. It can leave the premises before every record or formal procedure is complete. Agree the meaning of "finished" for each part of the plan.
Look for small unfinished tasks that still prevent an outcome being confirmed. Begin with the closure scope. The completion record should answer whether the agreed outcome has been achieved, who confirms it and what responsibility remains.

Require the right confirmation
The person accepting an outcome should have the role and evidence needed to do so. A coordinator may confirm that a document was received but may not be qualified to certify the work it describes.
For a limited company, GOV.UK's closure guidance distinguishes the formal route from the business simply ceasing activity. Ask advisers to state the actual procedural position rather than using "closed" as a catch-all label.
Progress by outcomes helps throughout the project. It is easier to produce an accurate final report when completion evidence has been collected as work proceeds.
Write the residual responsibilities plainly
A fictional final update might say that normal production has ended, the agreed disposal scope has been accounted for and a named custodian now handles specified records. It might also state that a particular adviser process remains pending.
That is more useful than declaring the whole closure complete and leaving future queries to find the former owner by chance.
For each continuing responsibility, record the contact route, access arrangements and review point. Obtain appropriate advice on retention, privacy or other obligations. Do not invent a universal period for keeping every kind of record.
The records handover can test whether the nominated custodian can actually use the material.
