A director update should make the required decisions easy to find. A long activity list may show that people are busy while hiding the question that needs authority today.

Lead with the current scope and the material changes since the last update. State whether the paper is for information, discussion or a decision. Use the business's actual governance process and obtain advice where the required approvals are uncertain.

A one-page structure

The first paragraph describes the current position. The next section lists the decisions requested, each with its evidence and unresolved assumptions. A final section identifies upcoming dependencies and matters referred for professional advice.

Attach supporting material by reference. Directors may need the underlying record, but the main update should explain why it matters. Keep sensitive information appropriately controlled.

A fictional decision item could read: "Confirm the person authorised to approve changes to the disposal scope. Two departments currently send instructions independently. The proposed remit is attached for review."

That is more useful than "asset work progressing" because it identifies an actual governance gap.

Show uncertainty without disguising it

If a cost remains unquoted or a date unverified, label it. Do not convert an estimate into a confirmed number to make the paper look complete. The closure budget assumptions and date evidence register provide the detail behind those labels.

Where advice is pending, state the question and the action that remains dependent on the answer. Avoid implying that an adviser has approved the whole plan because they answered one part of it.

Include changes that could affect the business's wider position, even if they make the update less comfortable. Uncertain financial position or authority requires appropriate qualified advice, not a reassuring colour on a progress chart.

Ask the reader to distinguish three responses: approve a defined action, request further evidence or refer the matter for advice. A vague request to "note and agree" can blur those outcomes.

After the meeting, record the actual decision in the closure log. If the decision differs from the recommendation, make the change explicit. Circulate only the instruction relevant to each person's role.
